Using TherapyNotes or Sessions Health EHR?  Let Us Be Your Practice’s Billing Partner

IT IS IMPORTANT TO STRESS THAT PROVIDERS DO NOT HAVE TO BE USING THERAPYNOTES, SESSIONS HEALTH OR ANY EMR IN ORDER TO USE OUR MENTAL HEALTH BILLING SERVICE.  We have easy online forms providers can complete to provide patient demographics and billing.   In addition we can work with other EMRs like Practice Fusion.  Ask for information.

We can handle all billing responsibilities in TherapyNotes:

• Set up accurately all payers and patients in TherapyNotes

• On a daily basis we will accurately submit all claims in TherapyNotes, both electronic and paper.  We will ensure that proper CPT codes and modifiers are used so as to ensure claims are accepted and not rejected.

• Review all insurance EOBs and post the payments in TherapyNotes

• Verify all insurance benefits for new patients and for patients who change insurance and enter the information on the Billing Settings tab in TherapyNotes*
  • If you are using the Patient Portal in TherapyNotes, on a daily basis we will review and process the following forms:
    • Client Information Form
    • Emergency Contacts Form
    • Client Insurance Form
      • When reviewing the Client Insurance Form, we will ensure the correct payer is posted on the Billing Settings tab in TherapyNotes.  Quite often patients enter the wrong payer so we will ensure the correct payer is listed.

• Review electronic rejection reports received from the payers.

• Follow up on all outstanding or wrongly denied primary insurance claims we have submitted*.

• Unhappy with your current EHR and considering moving to TherapyNotes or Sessions Health EHR?  Ask how we can help set up all of your patient demographics in TherapyNotes or Sessions Health.

• PlatinumPlus Service:  Combine our full service Platinum Service with a Virtual Assistant Component.

• • Denied Claims:
    • If a patient’s claim denies because coverage has terminated or eligibility has not been found, we would do the following:
      • Send the patient a new Client Insurance Form in the portal.
      • Message the patient through the portal notifying the patient to complete the new Client Insurance Form.
      • If the patient does not promptly respond to the above we will attempt to call the the patient to advise the patient to complete the new Client Insurance Form.
      • Add an Appointment Alert to the patient’s next scheduled appointment in TherapyNotes so the provider can easily see that the patient must provide updated insurance information.
        • Note:  If the patient does complete a new Client Insurance Form prior to the next scheduled appointment we then will remove the Appointment Alert.

• • Declined Auto Pay Credit Card Payments
    • If your office is set up for the AutoPay feature in TherapyNotes, each day we would review any AutoPay charges that have declined.
    • For those that have declined we will send a message from within the portal to the patient.
    • If the patient does not respond within 7 days we will send a second message.
    • We will add an Appointment Alert to the patient’s next scheduled appointment advising about the declined credit card charge so the provider may address with the patient.
      • If the patient does take care of the declined charge prior to the next scheduled appointment we would remove the Appointment Alert.
    • If your office is not currently utilizing AutoPay in TherapyNotes, we could help set up this feature for practices enroll in the PlatinumPlus Service.

• • Credit Cards Due to Expire
    • For credit cards on file that are due to expire this month or next month we will send the patient in the portal a new Credit Card Auth Form to complete and we will message the patient about this.
    • If the patient fails to respond within 7 days we will send a second message.
    • We will also add an Appointment Alert to the patient’s next scheduled appointment so the provider can address the expiring credit card with the patient.
      • If the patient completes a new Credit Card Auth Form prior to the next scheduled appointment we would remove the Appointment Alert.
