FREQUENTLY ASKED QUESTIONS

  1. What services will you provide in TherapyNotes?
    • Every day we will log into TherapyNotes and submit all claims.
    • We will review any claims that reject electronically.  For example if a claim rejects electronically because coverage terminated we will notify you to provide us updated insurance information for the patient so we can resubmit to the patient’s new insurance carrier.
    • On a daily basis we will post all insurance payments, both Electronic Remittance Advice obtained in TherapyNotes and paper EOBs you provide to us.
    • We will verify benefits for all new patients and for patients who change insurance*.  We will enter the benefit details on the Billing Settings tab in TherapyNotes.
    • We will automatically follow up on any unpaid claims or denied claims that we submitted**
    • We will submit secondary claims, when necessary, to payers.
    • If needed, we will provide you the Revenue Reports in TherapyNotes so you can pay your clinicians.
  2.   Is there a limit to the number of free claims under the free trial?
    • Yes, there is a limit of 100 free claims per billing month.
    • For practices submitting under the standard per claim rate, if you exceed 100 claims during a billing month you will be billed $3.99 per claim x the number of excess claims LESS the 10% discount applied during the first year (net fee of $3.59 per claim)
    • For practices who purchase an Annual Prepayment Option, if you exceed 100 claims during a billing month the excess claims will be applied to the 1000 claim prepayment purchase.
  3.   How does the insurance verification process work?
    • MBPros will verify benefit information for any new patients and for patients who change insurance coverage.
    • When a new patient schedules a visit, you have 2 choices:
      • You can enter the patient demographics completely in TherapyNotes and send us an email requesting that we verify benefits
      • You can complete a simple, secure online patient form we have.  We then will accurately set the patient up in TherapyNotes and verify benefits.  For scheduling purposes, some offices set the patient up with basic info (name, DOB) in TherapyNotes and then complete our online patient form.  The choice is yours with these two options.
    • We then will verify eligibility and benefits by the next business day.  We will enter the benefit info on the Billing Settings tab in TherapyNotes.  Below is most of the info we obtain when we verify benefits:
      • Eligibility start date
      • Copay/coinsurance
      • Deductible
      • How much of the deductible remains outstanding (or has been met for the benefit year)
      • Out of pocket max, including amount remaining
      • If claims go to a 3rd party payer, such as Magellan or Beacon Health.
      • NOTE:  If you plan on doing psych testing, please note this in the verification request as we then can ask if psych testing (such as 96130, 96132 and 96136) are covered AND if prior authorization is required.
    • It is highly recommended that you obtain a copy (front and back) of the patient’s insurance card and upload it into TherapyNotes.
  4.   Is there a limit to the number of insurance verifications?
    • Yes.  There is a limit of 3 insurance verification requests per day and a limit of 60 per billing month.
    • If you exceed 60 verifications during a billing month, you are charged $7.95 per each additional verification.
    • If you require more than 3 verifications in a day you can request the additional ones, but we cannot guarantee that we will be able to complete all verifications by the next business day.
  5.   I have a lot of old claims that require follow-up.  Will that be included in the free trial?
    • No.  We will automatically follow up on any outstanding or denied claims that our office has submitted.
    • If your office requires follow-up of older claims, here is how it could work.
    • You could ask us to review claims for a particular patient.
    • If we are able to determine in TherapyNotes why the claims were not paid or possibly rejected, we will make the necessary adjustments.  There is no fee for this service.
    • However, if we cannot determine in TherapyNotes why the claims were not paid, we would then contact the payer.
    • For these older claims that we did not submit and that we have to follow up upon with the payer, a fee of $7.95 per claim is charged.
    • As a recommendation, if there are numerous dates open for a patient, you should ask us to follow up upon just one date of service with the payer to possibly save some money.  If we can determine from that phone call with the payer why the one date  was not paid, we may then be able to correct any problems in TherapyNotes and resubmit all dates.
  6.   I pay my clinicians a percentage of the amount paid by insurance.  Are you able to provide me the Revenue Report in TherapyNotes when needed?
    • Yes…However, this is important.  If you use the Revenue Report, let us know at the outset.  The reason is this.  The Revenue Report is based upon the date of payment.  Let’s say we run a report on Saturday the 16th….then let’s say on Monday the 18th a payment comes in with a payment date of Friday the 15th.  Because the report has already been run through the 15th, we will want to change the payment date to the 18th to ensure that payment is reflected on the next Revenue Report.
  7.   Do you have any TherapyNotes references we can contact?
    • We have numerous References on the References page on our website.
    • For specific practices of ours that are using TherapyNotes, feel free to contact us and we can send you some references.
  8.   Is the TherapyNotes Platinum Service run by TherapyNotes, LLC?

    • No.  Medical Billing Professionals, which has been serving behavioral health providers since 1995 and serves numerous TherapyNotes practices via our TherapyNotes Platinum Service, is not affiliated with TherapyNotes, LLC.
